Finding the right location for your upcoming corporate event doesn’t have to be difficult once you know what you need in a venue. The questions in this blog post are designed to help you think about what accommodations you will need in a special events venue.

To answer this question, you’ll need a finalized guest list. Be sure to also ask venues about their capacity limits. You’ll want a venue spacious enough to accommodate your guests without the room feeling empty or cramped. When planning a corporate event, you’ll want to overestimate how many people will show up versus going with the number of people who responded with a RSVP.
Check with the venue to see how many parking spaces will be available. Nothing is more frustrating for a guest than struggling to find a parking space, especially if they’re running late. Part of being a good corporate event planner is making sure all aspects of the event are well thought out. You should also inquire about the type of parking the party venue offers, such as valet or self-parking. You’ll also want to consider how far people have to walk from their cars to get to the venue.
Do you plan on holding the event near the workplace or out of town? If guests have to travel long distances, you’ll want to look for venues near the airport. This will make it more convenient for your guests. It’s also a good strategy to arrange for the corporate event to be held at the same place guests are staying. For example, many of our guests book reservations at our historic bed and breakfast when they’re here for a corporate event. Staying at our bed and breakfast is just one of many corporate event examples.
In addition to renting their space, many venues offer services such as catering, audiovisual setup, table and chair rentals, and more. Ask what services are included in the price of the venue rental. Some venues may require a minimum food purchase to rent the space.
To make the process easier for you, we recommend choosing a venue that offers setup and cleanup services. On the day of the corporate event, you’ll have enough to worry about without having to set up the chairs yourself. Also, different types of social events may require more preparation than others.
Depending on which corporate party venue you choose, there may be restrictions in the contract. These restrictions can include anything from certain types of decoration to outside catering. Make sure you know what restrictions the venue has prior to signing a contract.
